Privacy Policy

What We Collect

When you create a CoachPulse account, we collect your name, email address, and password (hashed). When you add clients, we store their name, contact information, training type, and session data including mood scores, energy levels, and trainer notes.

We also collect aggregated usage analytics (page views, feature usage) through Google Analytics to improve the product experience.

What We Don't Do

• We never sell your data to third parties.
• We never use your client data to train AI models.
• Client data is only accessible to the trainer who entered it.
• We do not share individual client data with advertisers, partners, or any external entity.

AI Processing

When you generate an AI intervention message, your client's name and relevant session context (mood scores, days since last session) are sent to OpenAI's API to generate a personalized check-in message. Per OpenAI's API agreement, this data is not stored or used for model training by OpenAI.

Data Security

All data is encrypted at rest and in transit (TLS 1.3). Passwords are hashed using bcrypt with a cost factor of 12. Database backups are encrypted and stored in EU data centers.

GDPR Compliance

CoachPulse is fully GDPR-compliant for EU-based trainers and their clients. You have the right to:

• Access — request a copy of all data we hold about you
• Rectification — correct any inaccurate data
• Erasure — request deletion of your account and all associated data
• Portability — export your data in CSV format (Growth plan and above)

Data Retention

When you cancel your subscription, your data is kept for 30 days in case you reactivate. After 30 days, all account data and client records are permanently deleted from our servers and backups.

Cookies

We use essential cookies for authentication (session tokens). We use Google Analytics for anonymous usage statistics. No advertising cookies are used.
